Policy

  • Lesson Schedule

    1. Lessons are scheduled on a weekly basis, with the schedule for the entire month planned in advance. At the beginning of each month, students and families must confirm their availability and finalize the number of lessons to be held during that month. This ensures clarity and consistency in the lesson plan and allows the academy to manage its schedule effectively.

    2. Each lesson is 60 minutes in length.

Lesson times can be adjusted in consultation with the instructor to accommodate the needs of the student.

    3. No lessons will be scheduled on the following national holidays:

Thanksgiving Day, Christmas Eve, Christmas Day, New Year’s Eve, and New Year’s Day

Students and families are encouraged to take these holidays into account when planning their monthly schedules to avoid any conflicts.

By confirming schedules in advance, the academy can provide a seamless and organized experience while meeting the needs of all students.

  • Payment

    1. Monthly Payments: Payment is due in full at the first lesson of each month for the planned schedule of lessons for that month. This ensures that lessons are reserved and planned efficiently for all students.

    2. Accepted Payment Methods: The academy accepts payment via cash, Venmo, and Zelle®. Please ensure payments are completed promptly using one of these methods.

    3. Late Payment Fee: A $10 late fee will be assessed for every week a payment is overdue, up to a maximum of $40 per month. Timely payment helps maintain the academy’s schedule and operations.

    4. Makeup Lessons for Illness or Severe Weather: If a lesson is missed due to illness or severe weather conditions affecting travel, the makeup lesson must be rescheduled within 14 days of the original scheduled time. Advance notice is appreciated wherever possible to allow better scheduling adjustments.

    5. Missed Lesson Credits: Credits for missed lessons will not be applied toward the next month’s payment. This includes lessons missed due to scheduling conflicts or other unplanned absences.

It is the student’s responsibility to reschedule a missed lesson within the same month, unless the missed lesson falls in the last week of the month. In such cases, the lesson credit must still be used within 14 days of the original scheduled time.

Credits will not carry over to future months under any circumstances.

    6. Policy Agreement: Upon enrollment, students and parents are required to sign an acknowledgment form confirming that they understand and agree to the payment and makeup lesson policies.

  • Cancellation and Rescheduling

    1. Advance Notice Requirement: To cancel or reschedule a lesson, at least 72 hours’ notice must be provided. Exceptions will be made in cases of illness or emergency. The lesson credit will be valid for 14 days from the original scheduled time and cannot replace the student’s next regularly scheduled lesson. Timely communication ensures that lessons are rescheduled efficiently and minimizes disruptions to the academy’s schedule.

    2. Missed Lessons Without Notice: Lessons missed without proper notice will not be refunded or rescheduled. Last-minute cancellations, including on the day of the lesson, a few hours before, or right before the lesson, will not be accepted except in cases of genuine emergencies. Students are encouraged to notify the academy as early as possible if they anticipate a conflict.

    3. Remote Video Lesson Option: Remote video lessons are offered as an alternative for students unable to attend in person. This option may be used in situations such as:

    - Travel conflicts

    - Severe weather conditions

    - Other unforeseen circumstances

Remote lessons must be requested in advance to ensure proper setup and scheduling. To maintain the integrity of the program, remote lessons are limited to two sessions per semester unless exceptional circumstances arise.

    4. Academy-Initiated Cancellations: Lessons will be credited if the academy cancels for any reason, including:

    - Severe weather conditions

    - The teacher’s illness

    - Emergencies

    - Any other unforeseen situations

In such cases, the academy will work with students to reschedule the lesson within a mutually agreed-upon timeframe.

    5. Flexibility for Emergencies: While last-minute cancellations are generally not permitted, the academy may consider exceptions for emergencies on a case-by-case basis. Students or parents must communicate as soon as possible if such situations arise.

    6. Communication Expectations: All cancellations or rescheduling requests should be communicated via email, phone, or text. Students and families are encouraged to confirm receipt of their request to ensure proper documentation and avoid misunderstandings.

  • Student Expectations

    1. Students are encouraged to arrive on time for their scheduled lessons, bringing their instrument, music, and any necessary materials. Lessons will end at the scheduled time, even if a student arrives late, to respect the overall schedule.

    2. Regular practice is essential for growth. Students are encouraged to follow the instructor’s practice recommendations, tailored to their level and goals, to achieve steady progress.

    3. Maintaining respect for the instructor and fellow students is important. A positive and open attitude toward feedback and communication contributes to a welcoming and productive learning environment.

    4. Students should come prepared with all required materials for each lesson, including their music and any assignments. Keeping materials ready helps make the most of lesson time.

    5. Students are encouraged to actively participate in lessons, ask questions, and stay engaged. This helps deepen understanding and ensures they get the most out of each session.

  • Materials and Equipment

    1. Responsibility for Lesson Materials: Students are expected to bring their flute, assigned music books, and any other required materials to each lesson. This ensures that lesson time is used effectively and allows for seamless instruction.

    2. Instructor Recommendations: Instructors may recommend the purchase of music books, accessories, or other materials necessary for the student’s progress. Students and parents are encouraged to obtain these items promptly to support continued learning.

    3. Instrument Maintenance: Students are responsible for ensuring that their flute is properly maintained and in good working condition. Regular cleaning, servicing, and repair, when necessary, are essential for optimal performance.

    4. Digital Resources: When applicable, instructors may provide or recommend digital resources, such as sheet music, practice tools, or video tutorials, to enhance the student’s learning experience. Students should have access to a device suitable for viewing and using these materials.

    5. Music Storage and Organization: Students should organize their music and lesson notes in a dedicated folder or binder. This helps maintain focus during lessons and supports consistent practice at home.

  • Termination of Lessons

    1. Either the student or the academy may terminate lessons by providing a minimum of 30 days notice. This allows both parties sufficient time to adjust schedules and finalize any outstanding matters related to the lessons.

    2. Refunds will not be issued for any lessons remaining within the notice period or for lessons already conducted. Any prepaid fees will be applied to the notice period, and no additional credits or transfers will be granted once the termination notice has been provided.
